Remote Property Management: A Clear Communication Plan for Owners
Plan how maintenance requests, updates, approvals, and records should be shared when you manage a property from another city or country.
Owning a property in another city or country makes clear communication especially valuable. A practical reporting plan helps an owner understand what is happening, what needs a decision, and which actions have already been agreed.
The plan does not have to be complicated. Start by defining responsibilities and a consistent way to exchange information with the person or team looking after the property.
Define what is being managed
List the activities you want support with. These might include maintenance coordination, inspection arrangements, tenant communication, or routine property reporting. A broad phrase such as โlook after everythingโ leaves too much room for different expectations.
Discuss which activities are included in the management arrangement, which require separate instructions, and which need a specialist. Keep a written record of the agreed scope and contact people.
Agree who communicates with whom
Identify a main contact for the owner and a main contact for the management team. If tenants, contractors, or other representatives are involved, describe how requests should reach the right person.
Choose a normal communication channel and an alternative for time-sensitive matters. Agree suitable contact hours and take different time zones into account.
Use a consistent update format
Ask for updates that make actions easy to understand. A short report can include the period covered, work completed, open requests, decisions needed, and planned next steps. Photographs are more useful when they include a location, date, and a note explaining what they show.
Agree the frequency that suits the property and the management scope. A vacant property, a busy building, and an active renovation may need different arrangements. The important point is that the owner and manager share the same expectations.
Make approvals explicit
Discuss how proposed work and costs should be presented for a decision. A useful request explains the issue, the proposed action, the estimated cost where available, and the consequence of waiting. Ask questions when information is missing.
Record approval clearly so everyone understands what was agreed. Any arrangements for urgent situations should be discussed in advance and included in the management scope.
Keep property records organised
Use a shared naming convention for reports, quotations, work records, and relevant documents. Keep access limited to the people who need it. A clear record makes it easier to follow an issue from the first report to the final update.
Do not treat a message saying โcompletedโ as a full explanation of important work. Ask for the completion details that were agreed for that task, such as photographs or a short written update.
Review the arrangement as needs change
Revisit the communication plan when the propertyโs use changes, new work begins, or a different representative takes over. Confirm that the contact list and approval responsibilities are still current.
